ATTN: ALL SFSM Staff and Physicians Partners

 

What IS changing:

In order to support the anticipated APeX Go-Live, ALL STAFF AND PHYSICIAN PARTNERS will be required to get an additional supplemental badge. Clinical staff will be prioritized to ensure that they have access to the following systems and equipment which includes but is not limited to:

  • Tap-n-go
  • Glucometers
  • Hemocue
  • IStat
  • Pyxis
  • Rover
  • Mytime Timeclock System
  • Various others not listed above

 

What is NOT changing:

  • This change will NOT impact building and door access throughout SFSM, which means you will still need your current access badges and cards to enter the hospitals. 
  • You will keep all your current badges through at least 10/4/2025, and future communications will help guide and plan to decommission previous badges when appropriate.
  • Do not go to the regular badge office, rather see locations listed below for Pop-Up locations

 

What you need to know in order to receive the new supplemental UCSF Badge:

  • Pop-Up Badge Office Locations will be deployed to support the process, following the “Pop-up Calendar” schedule outlined in the section below.
  • Clinical staff will receive priority to receive their badges, due to the nature of their work and badge related needs.
  • You will NEED to provide the badge team a valid and unexpired government ID
  • A photo will be taken when you receive your new badge

 

Pop-up Calendar and Locations

  • St. Mary’s Pop-Up Badge Office Location – 450 Stanyan St., SF CA 94114
    • Location: T1-4 on the First Floor (previous HR office)
    • Dates: August 11, 2025 through September 5, 2025
      • Clinical Staff Priority Week Starts Aug 11th
    • Office Hours: Monday – Friday 7AM-7PM
    • Don’t forget to bring your valid, unexpired government ID when you come

 

  • Saint Francis Pop-Up Badge Office Location – 909 Hyde St., SF CA 94109
    • Location: First Floor on the First Floor (previous HR office)
    • Dates: September 8, 2025 through October 3, 2025
      • Clinical Staff Priority Week Starts Aug 11th
    • Office Hours: Monday – Friday 7AM-7PM
    • Don’t forget to bring your valid, unexpired government ID when you come

 

FAQs

  1. Question: Can I go to either campus to get my badge?
    Answer: Yes. Staff assigned at either location can receive a badge at either of the pop-up locations.
  2. Question: What happens if I don’t get a badge made by 10/4/2025?
    Answer: You may have limited access to critical equipment and there may be limitations in your ability to complete your day-to-day work activities.
  3. Questions: Who can I contact with additional questions?
    Answer: You can visit your local pop-up badge location during office hours and select days, or you can email [email protected] with other badge related questions. You can also reach out to your local Human Resources or Security team to help provide additional information.
  4. Questions: Can I wait until the last minute to get my badge?
    Answer: Nearly 2,000 staff/physicians will need new badges and postponing it toward the end of the cycle may create delays in receiving your badges on time. Please plan ahead and plan to visit the pop-up locations early, particularly for clinical staff during the prioritized initial weeks.
  5. Questions: Will the badge office know what level of access I need?
    Answer: Most staff have already been assigned and aligned to a user profile based on job title, which will be applied to the ID badge provided at the time of issuance.
  6. Questions: How long will it take to receive my badge?
    Answer: Please plan ahead when planning to visit the pop-up badging office. You will receive your new supplemental badge the same day that you visit the pop-up location.
  7. Questions: Should I discard or turn-in my previous badges?
    Answer: Not at this time. Please retain ALL current access badges plus the new supplemental badges. Future communications with provide additional information for any future changes.

 


WeID services

University policy states that all UCSF staff, students, faculty, and affiliates are required to use and display their UCSF ID badges to help maintain campus safety. The WeID badge system verifies identity and ensures access is limited to authorized UCSF community members. WeID offers the following services:  

  • UCSF ID cards for students, employees, volunteers, contractors, vendors, affiliates, and visitors
  • Fingerprinting services for employee background checks, licensing requirements, and NRC irradiator operation
  • Basic notary services for UCSF operations only - basic notary services for UCSF students, employees, and affiliates 
  • Basic notary service does not include home loan documents or other personal (non-UCSF) services

WeID service locations 

WeID will begin new service hours on 1/6/2025. Both WeID offices will open at 7:15 AM and will accommodate customers until 6:45 PM, Monday to Friday, excluding University holidays.
